How to build a successful onboarding program?

Onboarding employees is a strategic process of bringing a newcomer in to the company and providing them training and coaching throughout the transition. A positive employee onboarding experience is crucial for organisations as it: motivates, inspires and enhances new employee’s contributions, productivity and commitment to the role. A fundamental element of the staff onboarding process is to introduce new employees to your business operations and encourage them to stay; thus increasing staff retention rate within the company. Furthermore, engaging newcomers prior to their employment commencing demonstrates the company’s commitment towards its employees.

An excellent onboarding program includes several activities that introduce a new employee to the company’s: policies, procedures and department specific orientation opportunites.  In addition to this, HR managers should share basic information such as:

  • Directions to the office and parking rules
  • The company’s code of conduct
  • Health and Safety regulations
  • Orientation date and time
  • Job responsibilities
  • Work schedule
  • Pay policies
  • Social conditions
  • The list of compulsory and optional training courses
  • Career and personal development opportunities

A good way to do this is via a web-based portal and HR specific software. This is because through these methods newcomers will be able to access and download all the information they require at anytime from any location and ask for help if necessary.

It is important to ensure a new employee is welcomed in to the company properly from the very beginning. On the first day, new employees should be: introduced to the team, provided with a well equipped workplace and the company should ensure all the necessary paperwork is completed.

However, during the first month of employment it is crucial to pay attention to the new employees learning needs to help them identify their goals and work towards achieveing them. Helping newcomers develop their training programme within the first month allows managers to monitor new employees goals and track performance.

Furthermore, a mentor should be assigned to ensure new members of the team have the opportunity to ask for help. A mentor should be responsible for monitoring the completion of specified assignments that meet and support the competency expectations. Once a staff onboarding  plan has been developed and implemented, the process is not over. HR managers should gather feedback from employees, review the program and regularly update the programme to keep it up to date.
